The Shortlist You Can't See

Welcome back! Since the last edition, our focus shifts from giving AI CRM context to checking whether buyers can find you in its answers. HubSpot’s AEO guides expose the gap between ranking and being cited, while its LinkedIn walkthrough draws a firm line between task reminders and automated messages. Add RAG’s dependence on current source material, and this recap is about the checks that deserve attention before you automate more.

The Big Story

Are buyers shortlisting without you?

HubSpot’s AEO gap guide highlights a discovery shift: buyers can encounter a vendor shortlist inside an AI answer before visiting a website. Its research of 3,063 CRM software purchase decision-makers found that 42% use AI search during evaluation. These are guidance articles, not product release announcements.

The B2B implication: ranking well doesn't prove you're being considered. An SEO gap concerns search positions; an answer engine optimisation gap concerns questions where your brand or content isn't appearing.

Our take: start with buying questions, not another content calendar. In HubSpot, review sales call records and support tickets for recurring comparison, implementation and suitability questions. Match those to existing pages, then test whether answer engines cite you or someone else. Prioritise omissions closest to a purchase decision.

CRM & Technology

Who actually sends that InMail?

HubSpot’s LinkedIn guide makes an important distinction: sequences schedule InMail and connection request tasks, but reps complete the interactions manually. Task notes don't automatically populate the LinkedIn composer, and InMail conversations aren't automatically saved to the CRM timeline.

Eligibility matters too: each user needs an assigned Sales Hub Professional or Enterprise seat and Sales Navigator Advanced Plus. Advanced alone doesn't qualify.

For B2B managers, a completed task shouldn't be mistaken for a complete conversation history. Check one HubSpot sequence: should it pause until the LinkedIn task is completed? Add a clear reason for contact in its notes, and agree how reps will log the interaction.

AI & Automation

What's feeding your AI answers?

HubSpot’s RAG explainer describes retrieval-augmented generation: a system retrieves external information, adds it to the prompt and generates an answer using that material. Unlike fine-tuning, it supplies knowledge at answer time rather than changing model behaviour through training.

That shifts attention from clever prompts to maintained sources. For B2B teams with changing pricing or implementation guidance, retrieval is only useful when the underlying material is current and accessible.

Check HubSpot-hosted product and help content for conflicting terminology, outdated facts and sections that don't make sense independently. Name the product explicitly and answer the question directly. Better structure can improve machine accessibility; it doesn't guarantee retrieval or citation.

In Case You Missed It

Who approved that answer?

HubSpot’s enterprise knowledge base guide makes governance central to AI readiness. Its knowledge base agent drafts articles from ticket data and identified gaps, with human review before publication. Service Hub Enterprise adds approval workflows in the article editor; editor comments support collaborative review.

For B2B teams, inconsistent support guidance deserves the same scrutiny as inconsistent sales promises. Check who owns your most important HubSpot knowledge articles, who can publish changes and when each needs review.

Don't confuse an expanding library with a trustworthy one. Start by reconciling contradictory answers before asking AI to produce more.

The 5-Minute Fix

Which signal deserves a call?

HubSpot’s prospecting guide puts first-party activity ahead of scraped outreach lists. It describes using form submissions, pricing-page visits and engagement to prioritise prospects, update scores and create follow-up tasks. It also cautions that one pricing-page visit may not justify outreach.

Try a narrow audit rather than a wholesale rebuild. Pick one HubSpot prospecting workflow and inspect its trigger, owner assignment and resulting task. Does it combine meaningful engagement with account fit? Would a rep understand why this person surfaced?

Keep discovery and objection handling human-led. Our recommendation: improve the relevance of the next task before increasing the number generated.
